Oxford Cricket Club – Photography, Filming & Live Streaming Policy
1. Purpose
Oxford Cricket Club recognises the value of photography, video recording, and live-streaming in promoting the Club, celebrating participation, and supporting coaching and performance.
The Club is committed to ensuring that all image capture and broadcasting is carried out safely, respectfully, and in compliance with safeguarding principles and UK data protection legislation.
2. Scope
This policy applies to:
• All Club Members (junior and adult)
• Coaches, Volunteers, Officials, and Committee Members
• Parents/carers and spectators
• All photography, filming, and live-streaming at Club training, matches, and event
3. Key Principles
• The welfare of children and vulnerable individuals is paramount
• All individuals must be treated with dignity and respect
• Photography, filming, and live-streaming must be appropriate and non-intrusive
• Activities must comply with UK GDPR and safeguarding guidance
• Consent must be obtained where required
• Content must only be used for legitimate Club purposes
4. Consent
Consent – Photography, Filming & Live-Streaming Juniors (U18)
• Consent for photography, filming, and live-streaming is provided by a parent or carer as part of the Club membership registration process
• The membership form will specify how images and footage may be used (e.g. website, social media, live streaming, coaching)
• No junior will be included in photography, filming, or live-streaming without this recorded consent
• Consent can be withdrawn at any time by notifying the Club in writing, and reasonable steps will be taken to stop future use
Adults (18+)
• Adult members are informed at the point of membership registration that photography, filming, and live-streaming may take place
• By agreeing to membership, adult members consent to such activity unless they choose to opt out
• Any adult who does not wish to be photographed, filmed, or included in live-streams must notify the Club in writing at the point of registration or at any time thereafter
• Consent can be withdrawn at any time, and the Club will take reasonable steps to respect this in future content
5. Approved Filming Personnel (Junior Cricket)
To safeguard junior members:
• Only designated individuals are permitted to capture images or footage of junior players
• The approved filming/content group consists of:
o Lead coaches or their designated stand in for each junior group
o The Club’s designated content lead
• No other individuals should routinely film or photograph junior sessions without prior approval
6. Safe Capture and Storage of Content (Juniors)
For the capture of junior footage, the following procedures must be followed:
• Content must only be captured by approved individuals
• Devices used must be password-protected and secure
• Content should be transferred to the designated storage as soon as practicably possible
• Once transferred, the content must be deleted from the originating device to avoid unnecessary storage on personal devices
7. Photography, Filming & Live Streaming – Adults
• Photography, filming, and live-streaming of adult cricket is permitted for:
o Performance analysis
o Club promotion
o Match coverage
However:
o Individuals must be treated respectfully at all times
o Content must not be used in a way that is defamatory, abusive, or brings the Club or game into disrepute
o Any adult who has opted out must not be intentionally included
o When junior players are players are part of an open age team, explicit permission must be sought from parents.
8. Live-Streaming
Where live-streaming is used:
• Streaming must be conducted by authorised individuals or approved providers
• The purpose of streaming must be clear (e.g. match coverage, coaching, promotion)
• Camera positioning must:
o Focus on the field of play
o Avoid inappropriate close-ups, especially of juniors
o Avoid capturing private or sensitive areas (e.g. changing rooms)
• For junior matches:
o Live-streaming must only take place where prior parental consent has been obtained
o Clear signage should indicate that live streaming is in progress
o When junior players are players are part of an open age team, explicit permission must be sought from parents.
• Streams must not include:
o Personal identifying information about juniors
o Audio or commentary that could be inappropriate or identifying
9. Use of Images and Footage
All content (junior and adult) must:
• Be appropriate and in a sporting context
• Avoid unnecessary identification (especially for juniors)
• Not cause embarrassment, distress, or harm
Content may be used for:
• Club website and social media
• Promotion and marketing
• Coaching and performance analysis
• Internal communications
10. Social Media and Public Sharing
• Only authorised individuals may post on official Club channels
• Members must not share images or footage of junior players on personal social media without explicit consent
• Content must not be edited or presented in a misleading or harmful way
11. Parents, Spectators and Visitors
• Parents and spectators may take photos/videos for personal use
• However, they must:
o Respect the privacy of others
o Not publish images of other children online without consent
o Follow any instructions from Club officials regarding filming or streaming
• The Club reserves the right to restrict filming or streaming if safeguarding concerns arise
12. Data Protection and Retention
• Images and footage will be stored securely and only for as long as necessary
• Personal devices must not be used for long-term storage of junior content
• All handling of data will comply with UK GDPR principles
13. Reporting Concerns
Any concerns about photography, filming, or live-streaming should be reported immediately to a Club Safeguarding Officer (safeguarding@oxfordcricketclub.com)
All concerns will be taken seriously and handled in accordance with safeguarding procedures
14. Policy Review
This policy will be reviewed annually or in line with updates to ECB guidance or legislation
